1) Who we are

This service (“InstructorHub”, “we”, “us”) operates the platform at dressageinstructor.instructorhub.net that allows creators to run their own AI instructors. If you have questions about this notice or your data, contact us at hello@instructorhub.net.

2) What we collect

• Account data: name, email, password hash, role/plan, credits.
• Uploaded content: the videos you upload, titles/notes, derived outputs (feedback, scores, timestamps).
• Transactional data: payment status/amounts via our payment processor (we don’t store full card details).
• Usage & logs: IP address, device/UA, actions (e.g., uploads), timestamps, error logs.
• Support: messages you send us (email or forms).

3) How we use your data (purposes & lawful bases)

• Provide the service (create accounts, take payments, run uploads, generate feedback/scores) — contract, legitimate interests.
• Video analysis via TwelveLabs to return summary feedback + section scores — contract, legitimate interests.
• Support & safety (troubleshoot, prevent abuse/fraud, secure the platform) — legitimate interests, legal obligations.
• Comms (service emails and optional marketing with your consent) — contract/legitimate interests and/or consent.
• Improvement (aggregate stats, product analytics in a privacy-preserving way) — legitimate interests.

4) Where your video goes (processors)

To generate results, we send the video you upload (and related metadata) to our video understanding provider:

• TwelveLabs — video analysis to produce feedback and scores.

We may also use essential vendors to run the platform (e.g., hosting/CDN, email delivery, error logging) and a payment processor (e.g., Stripe) if you purchase. We only share what’s necessary to provide the service, under a contract.

5) Retention

• Account data: kept while your account is active. We delete or anonymise within a reasonable period after closure.
• Videos & derived outputs: kept to provide your history and comparisons. You can request deletion at any time.
• Logs: typically up to 12 months unless needed longer for security or legal reasons.
• Support emails: typically up to 24 months.

6) International transfers

Some providers may process data outside your country (including the United States). Where required, we use appropriate safeguards such as Standard Contractual Clauses. By using the service, you understand your data may be processed in these locations.

7) Your rights

Depending on your location (e.g., UK/EU under GDPR), you may have rights to access, correct, delete, port, or restrict processing of your personal data, and to object to certain processing. You can also withdraw consent where we rely on consent.

8) Cookies & tracking

We use essential cookies for login/session security and functionality. If we add analytics/marketing cookies, we’ll show a banner and provide controls. You can manage cookies in your browser settings, but some features may not work without them.

9) Security

We use reasonable technical and organisational measures to protect your data. No system is perfectly secure; if we learn of a breach affecting you, we’ll notify you and regulators where required by law.

10) Children

This service is not intended for children under 13 (or the minimum age in your country). Do not use the service if you are under that age.
